We are Charmian Johnson Limited, registered company number 16299761, trading as Charm Johnson Coaching.
We collect, use and are responsible for certain personal information about you due to the General Data Protection Regulations which apply across the European Union and the United Kingdom.
We are responsible as ‘controller’ of that personal information for the purposes of those laws.
Our website
Throughout our website we may link to other websites owned and operated by certain trusted third parties (for example, to make additional products and services available to you). These other third party websites may also gather information about you in accordance with their own separate privacy policies.

Our collection and use of your personal information
We collect personal information about you when you engage with us for coaching services, use our website, or communicate with us in any other way.
We collect this personal information from you either directly, such as when you engage with us for coaching services, register with us, contact us or purchase products or services via our website, or indirectly, such as your browsing activity while on our website (see ‘Cookies’ below).

In providing our services to you we may collect more sensitive data from you to which additional protections apply under data protection law. You are not obliged to provide this information, but it may limit the support we can offer. This may include but is not limited to:

• information on your sex life or sexual orientation or religious or philosophical belief that may be relevant to your health

This website is not intended for use by children and we do not knowingly collect or use personal information relating to children.
Our legal basis for processing your personal information

We routinely share personal information with our trusted third party suppliers, including email service providers, client relationship management systems, communication platforms, web hosting provider, cloud storage services, freelancers, accountants and payment processors. This data sharing enables us to provide our services to you.
Some of those third party recipients may be based outside the United Kingdom and European Economic Area.
We will share personal information with law enforcement or other authorities if required by applicable law.
We will not share your personal information with any other third party.
How long we will keep your data
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements. When deciding what the correct time is to keep the data for we look at its amount, nature and sensitivity, potential risk of harm from unauthorised use or disclosure, the processing purposes, if these can be achieved by other means and legal requirements.
For tax purposes the law requires us to keep basic information about our customers (including Contact, Identity, Financial and Transaction Data) for six years after they stop being customers.
In some circumstances we may anonymise your personal data for research or statistical purposes in which case we may use this information indefinitely without further notice to you.
Whether information has to be provided by you, and if so why
We require you to provide name, address, email address to enable us to provide our services and market to you where we have your consent. We will inform you at the point of collecting information from you, whether you are required to provide the information to us.
Transfer of your information out of the UK
We are subject to the provisions of the UK General Data Protection Regulations (UK GDPR) that protect your personal data. Where we transfer your data to third parties outside of the UK, we will ensure that certain safeguards are in place to ensure a similar degree of security for your personal data. As such:

When responding to a request to access your personal data, we are only required to carry out searches that are reasonable and proportionate in the circumstances (as now expressly recognised in the Data (Use and Access) Act 2025). This means we will take into account factors such as the nature of the information sought, the context in which it is held, any difficulty involved in locating it and the potential benefit to you of receiving it.
We try to respond to all legitimate requests within one month of receiving the request (or, where applicable, of receiving the identity verification information or clarification we have asked for - the response period is paused, or "stopped", while we wait for that information, in line with the Data (Use and Access) Act 2025).
Occasionally it may take us longer than one month if your request is particularly complex or you have made a number of requests, in which case we may extend the response period by up to a further two months. We will notify you within one month of receiving your request if an extension is needed and explain why.
Keeping your personal information secure
We have appropriate security measures in place to prevent personal information from being accidentally lost, or used or accessed in an unauthorised way. We limit access to your personal information to those who have a genuine business need to know it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality.
We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

How to complain
